Privacy Notice
Effective October 27, 2026
The short version
- Your client list stays on your Mac. Your clients, notes, messages and call history are stored on your computer, not on our servers.
- Drafts are written, then forgotten. To write a draft, the part of the conversation it needs is sent to our AI service. It is used to write the draft and is not stored by us or used to train AI.
- Paddle handles payment. We never see your card number.
- No ads, no tracking, no selling. This website uses no cookies or analytics, and we never sell your information.
1. Who we are
Followkeeper is operated by Maguire Mathis, a sole proprietor in the State of Texas, USA, doing business as "Followkeeper" ("we," "us"). We are the controller of the personal information described in this notice. You can contact us about privacy at support@followkeeper.com. Our mailing address is available on request at the same email address.
This notice covers the Followkeeper Mac app, the Followkeeper AI service it connects to, and followkeeper.com. When you use Followkeeper for your clients, you decide what information about them goes into it, and you are responsible for having the right to use it (see our Terms of Service).
2. What we collect, and why
Information that stays on your Mac
Followkeeper stores your clients, notes, stages, follow-up schedule, settings, and the messages and call history it reads with your permission, in a database on your Mac. We do not receive or keep a copy of this database. Optional backups you set up go to a location you choose.
Information used to write AI drafts
When Followkeeper writes a draft, a summary or a suggestion, it sends the information needed for that request to our AI service. This usually includes the recent messages in that conversation, the client's first name and stage, relevant dates, and notes about how you like to write. Our service passes it to our AI provider to produce the draft and returns the result to your Mac.
- Purpose: to write the draft you asked for or turned on.
- Legal basis: to provide the Service under our contract with you.
- Storage: our service does not store the content of these requests or the drafts. We record only that a request happened and its size (see "Account and usage information"). Our AI provider does not use this data to train its models, and keeps it only for a limited time under its commercial terms for safety and abuse monitoring.
Account and usage information
Each installed copy of Followkeeper gets a random install ID and a private key that lets it use the AI service. We store:
- the install ID, when it was created and last used, and its plan;
- subscription details from Paddle: a customer ID, subscription ID, status, trial and renewal dates, and any scheduled cancellation;
- monthly counts of drafts and summaries, and the amount of text processed, so we can apply plan allowances; and
- a one-way scrambled (hashed) form of the IP address used to set up a new copy, counted by day, to prevent abuse.
Purpose: to run your subscription, apply plan limits, prevent abuse and keep the Service secure. Legal basis: our contract with you and our legitimate interest in preventing fraud and abuse.
Payment information
Paddle.com, our reseller and Merchant of Record, collects your name, email address, payment details, billing country and postal code, and tax information when you subscribe. Paddle processes these under its own privacy notice. We receive your Paddle customer and subscription identifiers and status, never your full card number. Purpose: to sell, bill and support your subscription. Legal basis: our contract with you, and legal obligations such as tax.
When you contact us
If you email us, we keep your email address and what you send us so we can help you. Legal basis: our legitimate interest in answering you, or our contract with you.
This website
followkeeper.com uses no cookies, no analytics and no advertising trackers. Our hosting provider processes standard technical information, such as your IP address, browser type and the pages requested, to deliver the site and protect it from attacks. Fonts are loaded from Google Fonts, which receives your IP address when the page loads.
Optional connections
Some features connect to other services only if you turn them on, such as a Pocket voice recorder or a shared sheet for a builder partner. When you turn one on, the information needed for that feature is shared with that service, under its own terms.
3. Who we share information with
We do not sell or rent personal information, and we do not share it for advertising. We share it only with:

If the business is ever sold or transferred, information may move to the new owner, who must keep honoring this notice.
4. How long we keep it
- AI request content: not kept by us. It's discarded once the draft is returned.
- Install, subscription and usage records: while your copy is in use, and for up to 24 months after it was last used, then deleted or made anonymous. Billing records may be kept longer where tax and accounting laws require.
- Abuse-prevention records (hashed IP counts): up to 12 months.
- Support emails: as long as needed to help you, and up to 3 years.
- Data on your Mac: as long as you keep it. You can delete it at any time by removing the app and its data.
5. Your rights and choices
Depending on where you live, including under the Texas Data Privacy and Security Act, the California Consumer Privacy Act, and the GDPR and UK GDPR, you may have the right to:
- know what personal information we hold about you and get a copy of it;
- correct information that's wrong;
- have information deleted;
- get your information in a portable format;
- object to or restrict certain processing, and withdraw consent where we rely on it; and
- complain to a data protection or consumer protection authority.
To use any of these rights, email support@followkeeper.com. We will respond within 30 days, or within one month where the GDPR applies, and we won't treat you differently for asking. We may need to confirm it's you before acting. Information on your Mac is already in your hands: you can export it from Settings, then Your plan, at any time.
If you are a client of a Followkeeper user and want your information removed, please contact the professional you work with, since they control their own records. You can also email us and we'll help where we can.
6. Security
We protect information with encryption in transit (HTTPS), access controls, keys stored in the macOS Keychain, and by collecting as little as we can. The safest data is data we never hold, which is why your client records stay on your Mac. No system is perfectly secure, so please keep your Mac and Apple account protected with a strong password.
7. International transfers
We are based in the United States, and our service providers process information in the United States and other countries. Where the law requires it, transfers are protected by safeguards such as the European Commission's Standard Contractual Clauses.
8. Children
Followkeeper is a professional tool for adults. It is not meant for anyone under 18, and we do not knowingly collect information from children.
9. Changes to this notice
If we make significant changes, we'll let you know in the app or by email before they take effect, and update the date at the top of this page.
