What Followkeeper does with client information

A plain summary for loan officers to share with their employer. It describes how the product works today. It isn't legal advice and it doesn't say Followkeeper meets any particular rule. Whether it fits your policies is your decision.

The short version

  • It runs on the loan officer's own Mac, and the client list stays there.
  • Parts of a conversation are sent to an AI service to write a draft. Our service doesn't store them.
  • Nothing goes to a client until the loan officer approves that specific text.
  • Texts come from the loan officer's own number, one at a time. There is no bulk sending.

What it reads

With the user's permission in macOS, Followkeeper reads Messages and call history on that Mac. It uses these to see who is waiting on a reply and to draft in the user's voice. To learn that voice it reads only texts sent to people the user marked as business.

Where information is stored

Clients, notes, stages and copies of messages are kept in a database on the Mac, in a folder only that Mac account can open. The database itself isn't encrypted separately, so we suggest FileVault. Backups are encrypted and stay on that Mac unless the user sets up something else. We don't receive a copy of the database.

What leaves the Mac

To write a draft, the app sends what that draft needs. This usually includes recent messages in that conversation, the client's name, stage, loan type and amount if entered, notes, relevant dates, and examples of how the user writes. That text can include borrower information.

  • Our service: runs on Cloudflare and passes the request to Anthropic, our AI provider. It keeps only that a request happened and its size, not the content.
  • Anthropic: doesn't train on this data and keeps it for a limited time under its commercial terms. See the privacy notice.
  • iPhone app: information sent between the Mac and iPhone is encrypted end to end, so our relay can't read it. The phone keeps a working copy of the user's day.

How texts are sent

Every text is approved one at a time. By default the app opens Messages with the text filled in and the user presses send. An optional setting sends straight through Messages after approval. No scheduled text goes out on its own, and a client's message can't make the app send anything.

What it doesn't do

  • It isn't an archive. It doesn't capture or retain messages for regulatory recordkeeping. If your policy requires archiving texts, you'll need another way to do that.
  • It doesn't connect to your systems. There's no LOS integration, company administration or central oversight today.
  • It doesn't check content for compliance. The user is responsible for what they approve, including advertising rules and consent to be texted.
  • No independent audit yet. We haven't completed a SOC 2 or similar audit.
